Position Overview
The Secretary 2 will support the Afghanistan programme in:
- Administrative implementation of projects
- Coordination with the University of Geneva’s central administration
- Financial and human resources processes
The position ensures compliance with donor requirements and contributes to the delivery of high-quality results in a complex operational environment. The role is carried out under the supervision of the Afghanistan Programme Manager.
Main Responsibilities
Financial Management and Reporting
- Process payments and expense claims
- Collect and verify receipts
- Enter financial data into the University of Geneva’s SAP system
- Assist in preparing and monitoring programme budgets
- Prepare and submit financial reports in line with donor requirements
- Maintain up-to-date financial documentation and prepare audit files
Administrative Support
- Coordinate preparation and follow-up of consultant and service contracts
- Ensure compliance with University of Geneva procedures
Event and Mission Coordination
- Organise events and activities (room bookings, catering, equipment, participant management, etc.)
- Coordinate travel arrangements (visas, airline tickets) and accommodation for delegations, staff, and external experts
Required Qualifications
- Vocational Maturity Diploma (CFC) or equivalent
- Minimum 3 years of relevant professional experience in administrative support, financial management, project support, or event coordination
- Experience with SAP or similar accounting/administrative software is an asset
- Knowledge of donor-funded project requirements (e.g. Swiss Agency for Development and Cooperation) is a plus
- Knowledge of University of Geneva procedures is an asset

- High level of discretion and confidentiality
- Excellent interpersonal and communication skills
- Ability to work both independently and within an international team
Languages
- English: minimum B2 level required
- French: C1 or C2 level required
Contract Conditions
- Fixed-term contract (1 year, renewable)
- Externally funded position
- Project duration potentially up to 2.5 years
- Start date: As soon as possible
